5 Free AI Prompts for a Calmer Workday
Copy a prompt, fill in the parts in [brackets], and paste it into your AI assistant. No sign-up needed.
Prompt 1 · Morning
Brain dump sorter
Use it when: your head is full before the day has started.
First: write everything down, on paper or in a note. Then paste the list in.
Here is everything on the to-do list right now: [paste list]. Sort it into three groups: Today (max 3 tasks), Later and Drop. For each Today task, add the first small step. For each Drop item, give one short reason.
You get: a short list for today, a place for everything else, and permission to drop what doesn't matter.
Tip: keep the Later list somewhere you'll see it tomorrow.
Prompt 2 · Email
Cool-down check
Use it when: a reply was written while annoyed and isn't sent yet.
This reply was written while annoyed: [paste draft]. Point out anything that sounds sharp, defensive or passive-aggressive. Then rewrite it calm and professional without changing the point. Keep it under [100] words.
You get: your point, without the tone you'd regret.
Tip: turn on Undo send in Outlook or Gmail for an extra few seconds of safety.
Prompt 3 · Email
Email to task list
Use it when: one long email hides five different requests.
Turn this email into a task list. For each task, give the owner, the deadline if one is stated, and the first concrete step. Flag any task with no deadline. [paste email]
You get: clear tasks with owners and first steps, plus the questions to ask back.
Tip: check the list against the original email. AI can merge two requests or guess a date.
Prompt 4 · Midday
Three-line status update
Use it when: someone asks, "Where are we with this?"
Turn these notes into a three-line status update for [manager / team]: Done, Next, Blocked. One short sentence each. [paste notes]
You get: three sentences that answer the question before it turns into a meeting.
Tip: send one every Friday, before anyone asks.
Prompt 5 · End of day
Tomorrow's note
Use it when: it's the last five minutes of the workday.
Here is where today's work stopped: [paste notes or open tasks]. Write a three-line note for tomorrow: where the work stopped, the first task to start with, and anything still open that needs a reply.
You get: a three-line note that lets you close the laptop and stop running tomorrow's list in your head.
Tip: make it the first thing you read tomorrow morning.
