Turn Off Outlook Email Notifications (and Gmail)

To turn off Outlook email notifications, open Settings → General → Notifications in new Outlook or Outlook on the web and switch notifications for new mail off. In classic Outlook for Windows, go to File → Options → Mail and untick Display a Desktop Alert. In Gmail on the web, choose Settings → See all settings → General → Desktop notifications → Mail notifications off.

Your mail still arrives. You just decide when to look.

Why turn off email notifications?

Every pop-up asks for a small decision: open it now, or ignore it? Even when you ignore it, part of your attention goes with it. Over a day, those small pulls add up.

Turning notifications off doesn't mean ignoring people. It means you check email at times you choose, for example three or four planned rounds a day. Between rounds, you can finish what you started.

How to turn off Outlook email notifications

New Outlook and Outlook on the web

  1. Select the Settings gear in the top-right corner.
  2. Go to General → Notifications.
  3. Switch notifications for new mail off.
  4. If a sound setting for new mail is listed on the same page, turn it off too.
  5. Select Save if the button appears.

If you use new Outlook on Windows, also check the system notifications. Go to Windows Settings → System → Notifications and turn off Outlook.

Classic Outlook for Windows

  1. Select File → Options → Mail.
  2. Scroll to Message arrival.
  3. Untick Display a Desktop Alert.
  4. Also untick Play a sound, Briefly change the mouse pointer and Show an envelope icon in the taskbar.
  5. Select OK.

Outlook on a Mac

Open System Settings → Notifications → Microsoft Outlook and turn Allow notifications off. To keep the badge but lose the pop-ups, set the alert style to None instead.

How to turn off Gmail desktop notifications

  1. In Gmail on the web, select the Settings gear, then See all settings.
  2. Stay on the General tab.
  3. Scroll to Desktop notifications.
  4. Choose Mail notifications off.
  5. Scroll to the bottom and select Save Changes.

Gmail notifications also depend on your browser. If pop-ups still appear, block notifications for mail.google.com in your browser's site settings. In Chrome, that's Settings → Privacy and security → Site settings → Notifications.

Middle ground: choose Important mail notifications on instead of turning them off completely. Gmail then alerts you only for messages it marks as important. This works best together with Priority Inbox, below.

Let important email rise first: Focused Inbox and Priority Inbox

Turning off notifications works better when the messages that matter are easy to find at your next check.

Focused Inbox in Outlook

Outlook then splits your inbox into two tabs. When a message lands in the wrong tab, move it to the right one. Outlook learns from each move.

Priority Inbox in Gmail

  1. Select the Settings gear.
  2. Under Inbox type, choose Priority Inbox.

Gmail shows important and unread messages first, then starred ones, then everything else. Mark messages as important or not important to train it.

Don't forget your phone

Your phone can undo all of this in one buzz. Open the notification settings in each mail app:

You can also use your phone's own Focus or Do Not Disturb mode during work hours, so mail stays silent while calls still come through.

Tell your team how to reach you

Turning off notifications is easier when people know what to expect. A short note helps. Paste this into your AI assistant:

Write a short, friendly message to [team or manager] explaining that email is checked at [times, e.g. 9:00, 11:30, 2:00 and 4:00]. Anything urgent should go through [Teams / a phone call / another channel]. Keep it under 80 words and match a [warm / neutral] tone.

Use the AI tool your employer has approved. In public tools, remove names, numbers and anything confidential. Read every draft before you send it.
